Job Description

The Boeing Shared Services Group (SSG) in Abu Dhabi has an opportunity for an outstanding individual to join the International Business Integration and Services team as a Front office administrator to support operations and business partner management and compliance. The International Business Integration and Services work statement is a broad and complex with unique country specific requirements as well as a broad statement of work delegated by the enterprise SSG functions such as supplier management, finance, security and fire protection and site services.

Operations management includes visitors’ management, office management and procurement of commodities and services associated with the local office, local hires and expatriates using an oracle system. The successful candidate will have strong skills in building and maturing business relationships as part of working across many entities, sites, business partners, customers and suppliers.

The candidate will report to the SSG Business Integration and Services Manager and will be part of a high performing team supporting programs within Abu Dhabi and N. Africa for over 50 employees and growing significantly in the next few years.

The candidate will support administrative operations by performing various duties requiring knowledge of organization systems, policies and procedures. Coordinates with customers, management and other organization groups to resolve technical and administrative issues. Performs data compilation, analyses, review, organization, post and administrative tasks that support the operation of the organization. Supports multiple and concurrent activities, provides guidance to project management, analyzes and interprets customer reporting requirements and evaluates system controls to measure regulatory compliance.


- Assist Business Integration and services Manager to manage the office Operations administrative responsibilities include, but are not limited to: 

- Ensure office administrative operations are in compliance with government laws and regulations, company policies, and professional standards. 

- Manage Front office: greets, screens and directs visitors at Company sites to specific locations and offices. Issues badges and passes to visitors authorized to enter company property. Checks for approval of controlled items entering or leaving facilities. Answers and routes telephone calls, answers general questions, directs vendors and acts as focal for receipt and delivery of express packages. Follows and maintains lobby procedures. Coordinate and plan the execution of executive visits, conference and special events. 

- Manage custodial services and Facilities Maintenance: maintain inventory records of office assets and assets tags, and supplies records and replenish as needed.

- Maintain records as per records management retention policy.

- Maintain and support Office safety, security and information security procedures and requirements.

- Process invoices payments working through our payment center.

- Supports procurement services through oracle interface system.

- Creates final documents for review and approval using multiple software tools. 

- Act as back up to other team members including PRO and/or office manager as needed.

-Trains and mentors less experienced employees.

- Other duties as assigned by management.


This requisition is for an international, locally hired position in Abu Dhabi, United Arab Emirates. Benefits and pay are determined at the local level and are not part of Boeing U.S.-based payroll, and will commensurate with experience and qualifications and in accordance with applicable UAE law. Employment is subject to the candidate's ability to satisfy all UAE labor and immigration formalities. 

This job may be level C or level D and will determined by the level of experience and qualifications of the selected candidate, in relation to the scope and responsibility of the position

Typical Education and/or Experience

University Graduate – Preferred 
High School minimum 

Excellent English language and Arabic is a Plus.

Advanced Knowledge of MS Office applications (Word, Excel, Power point).
