Full-time Fleet & Admin Team Leader

at fly dubai in Dubai

Administer and execute all administration service support and fleet management with a prime focus on day to day user requirements for all logistic matters and other on-going services 

KEY ACCOUNTABILITIES 

Key Activities 

1. Establish effective and efficient control of all administration support activities within the organization 

2. Oversee and control all supply of stationary and printing items at site (in station/out station) 

3. Oversee and control supply of pantry consumables on site 

4. Implement proper annual agreement and trend analysis through monthly release order 

5. Prepare annual agreement for all ongoing service by coordinating with procurement 

6. Monitor the Receptionist service support to flydubai premises 

7. Arrange and control supply of uniforms to different departments through management of logs and control over release orders 

8. Supply office equipment for existing and new joiners 

9. Document and control official stamps issuance by implementing proper procedures 

10. Coordinate with end users for any event arrangements related to the organization 

11. Oversee mail collection and its distribution 

12. Renew and manage PO BOX numbers that exist for the company 

13. Issue and renew Journals/Newspapers 

14. Daily request of gate pass permits for vehicles by coordinating with authorities 

15. Business card arrangement for staff 

16. Hotel booking and managing for delegates and visitors through agreed corporate rates 

17. Manage and oversee the Fleet Management aspect with respect to below points:- 

o Purchase of Vehicle with Procurement Coordination 

o Long Term Leasing 

o Short Term Leasing 

o General transportation 

o Vehicle Services / Maintenance 

o Repair and Maintenance of organizations Vehicles 

o Salik Accounts Maintenance 

o Police Reports and Settlement 

o RTA Approvals 

o Branding of Vehicles 

o Vehicles Inspection & Snap Checking 

o Disposal of Vehicles 

o Vehicle Registration 

o Fuel Card Issuance and Monitoring 

o Invoice Certification related to fuel and lease vehicles through proper records and documentations 

o Vehicle optimization and utilization 

18. Review the corporate parking policy and endorse it by the management 

19. Ensure the current fleet is monitored and diagnosed through fleet management software (GPS). 


Qualifications:


MINIMUM QUALIFICATIONS / EXPERIENCE/ KNOWLEDGE / SKILLS 

Minimum Qualification 

• University degree or equivalent 

Experience 

• Minimum of 6 years’ experience in an administration and fleet management role 

• Procurement experience is advantageous 

Knowledge / Skills 

• Excellent IT skills 

Certificate / License required 

• Fleet Management courses is advantageous 

Additional Requirements 

• Experience of working within a large organization is preferred
